Program Support Specialist
Job Description
QUALIFICATIONS & EXPERIENCES:
· High school degree required; AA degree desirable with at least 2 years of customer services with a non-profit or public offices in a fast paced office setting
· Ability to learn and know contract goals and requirements to ensure information provided to customers are accurate and timely
· Excellent with excel spreadsheets and other Microsoft Office programs
· Experience with payroll, reconciliation and/or timecard tracking is a major plus
· Excellent oral, written and communication skills
· Able to work well with customers, office staff, crew, local building officials/inspectors and the general public
· Bilingual in Spanish is a must!
POSITION RESPONSIBILITIES & DUTIES:
The applicant must be able to:
Coordinate day-to-day activities for Heating, Cooling and Water Heater services for ECIP and Weatherization Programs
· Schedule work for crew staff for drywall, minor home repair and other related work needed after installation work is completed
· Schedule appointments with customers and Inspectors from local City and County Building & Safety to ensure work completed passes before billing
· Enter all information/schedules/permit costs related to each dwelling in Serv-Traq (in-house database software)
· Update Homeowner Repair lists: call owners to provide details of work needed to be complete, document file and mail notice letters
· Complete inquiry forms as needed for jobs not able to enter home and prepare packets for crew production
· Review and organize crew paper works (timesheets, work order, permits, pictures, Historical Preservation Office, parcel and other required documents) to verify for completeness and accuracy
· Input hours worked per crew staff on tracking mechanism by dates, hours, contract(s) and submit to payroll within the deadlines set
· Ensure all forms in the file are separated, coordinate with appropriate staff for next steps (Vulnerable Population/Referrals) and to file all documents
· Data enter all information related to client file in Serv-Traq, ensure safe-keep of all files and back up all documents as needed
· Back-up to the Scheduler for Installations and Repair Technicians for Heating, Cooling and/or Water Heating Services plus Weatherization as needed
· Other clerical and administrative duties as assigned by Supervisor/Manager
Job Type: Full-time
Pay: $19.00 per hour
